When is the registration deadline?
We will accept registrations until June 1. If you are unable to register by June 1, please contact us. We’ll do our best to make arrangements for every member who wishes to attend convention. We must have your flight itinerary by June 1 to arrange airport pickup.
Who is eligible to attend the convention?
We encourage at least one delegate from each circle to attend and welcome anyone with a passion for leadership and commitment to O∆K!
Each attendee should register for convention individually. The process is individualized so we are able to record food allergies, housing assignments, t-shirt sizes, etc. (Please DO NOT register with a generic name or institution name.) If your institution is planning to cover registration fees for one or more attendees, and you wish to bill your circle or institution directly, please contact us to make special arrangements.
What is the convention registration fee?
The cost for official delegates is $175. Official delegates will be reimbursed up to $300 for travel expenses.
The registration fee for full-time individual attendee with on-campus housing is $350, and a full-time attendee with off-campus housing is $250. Those who choose to stay off campus will be responsible for their own accommodations and travel to and from their hotel to Grand Valley State University.
What does the registration fee include?
The convention registration fee is all-inclusive. The fee covers conference materials, social events, all meals, shuttle service to and from the airport, and transportation to off-campus events including the 5K and Fun Run, and Closing Reception in Grand Rapids. For the delegates and on campus registrants, the fee also includes housing on campus. Each participant is responsible for individual spending money. We recommend bringing cash and/or a credit card to purchase O∆K gear and expenses for the evening out in Grand Rapids.
What type of housing is offered?
The Niemeyer Complex at Grand Valley State University in Allendale will be the hub for those convention participants staying on campus. These apartment-style units are furnished with bed, desk/chair, dresser, closet, kitchen, table/chairs, couch, easy chairs, stove, and refrigerator. The buildings all have air-conditioning and linens are provided. Toiletries and irons are not. The Niemeyer Complex will also be where convention registration will be held. Delegates, collegiate members, and faculty officers are all encouraged to stay in the complex.
Are additional housing options offered?
We have secured a block of rooms with king-size beds at the Hampton Inn Grand Rapids – North, located at 500 Center Drive NW. The room rate is $139 (plus tax at 15%) per night. To make a reservation, call (616) 647-1000 and indicate that you are with Omicron Delta Kappa. Reservations must be made by May 17, 2016. Self-parking is free at the hotel. *Attendees choosing off-campus housing will be responsible for their own housing arrangements and transportation to and from Grand Valley State University campus.*
How do I arrange transportation to and from the convention?
Buses will run every 90 minutes from 8 a.m. to 8 p.m. on THURSDAY, JUNE 16. (Bus pickups at 8 a.m., 9:30 a.m., 11 a.m., 12:30 p.m., 2 p.m., 3:30 p.m., 5 p.m., 6:30 p.m., 8 p.m.) If you are arriving before 8 a.m. or after 8 p.m., please plan to take a taxi from the airport to GVSU Niemeyer Center (4046 Calder Dr. East, Allendale, MI 49401).
We will provide transportation via private shuttle service between the Gerald R. Ford International Airport (GRR, Grand Rapids, Mich.) and Grand Valley State University on the start and end dates of the convention.
You will receive an email with an Airport Transportation Request form that will include information on the airport transportation service at least one month prior to convention. You will need to complete this Airport Transportation Request form by June 1 for us to arrange your transportation. An O∆K volunteer will meet attendees outside baggage claim and escort them to registration at Grand Valley State University via a private shuttle service.
Because of convention scheduling, attendees requesting transportation to and from the airport must arrive and depart within specific times. Please plan to arrive between 11 a.m. and 6 p.m. on Thursday, June 16 and plan to depart between 7 a.m. and 1 p.m. on Sunday, June 19. Arrival and departure times outside of these windows will likely be accommodated but cannot be guaranteed.
What does a typical day look like at the convention?
Each convention day is different. Some components include guest speakers, social events, O∆K workshops, and topic lectures. Please refer to the convention schedule to see more specific details on daily activities.
What is the refund policy?
All cancellations must be submitted in writing (email is acceptable). The following cancellation fees apply to all convention registrations.
Prior to May 31 – 100% refund
Cancellation on or after June 1 – no refund *
* Registrations may be transferred to another individual until June 10. After June 10, registrations may not be refunded or transferred.
If a participant does not show up for the conference and does not cancel in writing, the full registration fee will be charged. To submit cancellations to O∆K headquarters via email, contact Mary Burner at firstname.lastname@example.org.
What is the expected attire for the convention?
Business casual is the recommended attire for the majority of convention. Be sure to pack comfortable shoes and possibly a sweater or light jacket for the conference sessions as sometimes the rooms can be cool. O∆K will provide all attendees a t-shirt for the service project activity. You may want to bring pants and shoes that can get dirty. Details about the service projects will follow.
We recommend semiformal or cocktail attire for the O∆K Awards Dinner on Friday night.
We are celebrating school spirit on Saturday night at the Grand Rapids Art Museum. Please bring your favorite college or university t-shirt, polo, sweatshirt, or jersey!
What else should I bring to the convention?
First, bring other leaders from your circle! Second, here are just some items to put on your packing list:
- Business cards to give to the connections you make
- Laptop or tablet (you will have free WiFi in your room, conference area, and breakout rooms)
- Toiletries, including soap, shampoo, toothpaste, and conditioner
- Bath towels
- Business or business casual attire
- Sneakers, casual shoes, and dress shoes
- Light jacket or rain coat
- Athletic attire and running shoes for the 5K (a 5K t-shirt will be provided)
What parking options are provided?
GVSU will provide parking free of charge. More details about parking will follow.
When does the convention officially end?
The convention officially ends Saturday evening at 11:00 p.m.
When are participants free to fly or drive home from the convention?
Participants should plan to depart between 7 a.m. and noon on Sunday, June 19.
How many people stay in a residence hall suite on campus?
There will be two or four people per suite. Each person will have his or her own room with a shared living area and bathroom. Linens are provided. Toiletries and hair dryers are not.
